Terms and Conditions

Before booking one of our pods please take the time to read these Terms and Conditions. They include important information about your booking, the pods, site facilities and your stay with us. All guests staying with us must be aged 18 or over. We have a strict no pets policy.

In the event that you are unable to stay with us, we are not able to provide a refund or rearrange your booking. This includes adverse weather conditions which might affect your travel.

We suggest that you take out suitable travel insurance in the event that you need to cancel your stay. 

If you need to cancel and can give us at least 4 week’s notice before your original  check-in date we may be able to rearrange your holiday. If you dates move between seasons there may be a cost incurred.

If you need to cancel within 4 weeks of check-in, you can try to sell your holiday to friends or family and we will update the guest information. 

We do not offer refunds or change of dates for Covid 19 related illness. 

In the event that we have to cancel your stay we will notify you and discuss the alternative arrangements. 

  • The lead person booking must be aged 18 or above at the time of booking.
  • All guests must be aged 18 or above. No children are allowed on site.
  • There is a strict no pets policy, either staying or visiting the pod.
  • There is a maximum of 2 adults per pod. No additional visitors.
  • Check-in is 3pm onwards. You will not be able to access your glamping pod before 3pm due to our housekeeping policy.
  • Check-out is 10am. Unfortunately we are unable to offer late check-out due to our housekeeping policy.
  • All bed linen and towels are included.
  • This is a small site, so please respect your neighbours, keep the noise to a respectable level and make sure you out all of your litter in a bin.

If you are found to be in breach of these conditions during your stay we reserve the right to ask you and your party to leave, with no refunds given.

If you test positive for Covid we cannot offer a refund. We recommend you take out suitable travel insurance to cover if you are unable to travel due to illness. 

If you do not check-in on your travel dates we will not provide a refund.

Please check your travel dates carefully as if you turn up on the wrong dates we will not be able to accommodate you.

We highly recommend that you take out suitable travel insurance for your stay with us. This will cover you in case you can no longer stay with us, as well as the cost of any damage you cause during your stay.

Payment Policy

At the time of booking you will be asked to pay a 50% deposit for the entire cost of your stay.

We will request the remaining 50% balance 6 weeks before your check-in date. This will be in an email with a link to our payment partner Stripe.

If your stay is less than 6 weeks from the time of booking, we will collect the full payment at the time of booking.

You will be asked to store a card before your check-in date for a security deposit authorisation. Please refer to the Security Deposit section of our Terms and Conditions.

If you do not pay the full balance 6 weeks before your check-in date, we reserve the right to cancel your booking.

Before your stay, you will be asked to store a card with our booking system which will be used as a security deposit pre-authorisation. This authorisation of £200 will be held on your stored card and only used if you fail to comply with our Terms and Conditions. 
We aim to be as fair as possible, and rarely charge guests any or all of their security deposit.
 
The £200 pre-authorisation will be held from your check-in day and released within 24 hours of check-out. It may take the bank a few days to remove the pre-authorisation.
Unfortunately we had to introduce security deposits after some of our pods were left extremely dirty or damaged.
Failure to store a card for the security deposit pre-authorisation will result in us cancelling your booking and you will not be issued with a refund.

If you or any of your party cause damage to the pod, the facilities or the exterior of the pod, or the site in any way, we reserve the right to collect payment from you to cover the cost of the damage.

Damage can include but is not limited to…

  • Water damage 
  • Misuse of property and items
  • Burns including cigarette burns and smoke damage
  • Glass items in/around the hot tub (including bottles, glasses)

Chipped and broken crockery including plates can be paid for in the shop, and new items can be purchased. 

The bath tub in Bluebell must not be overfilled. Please refer to the instructions provided when you check-in.

Please report any damages to us before you check-out. Breakages and damage must be paid for.

The Hedgerow team will clean the pods and fully restock the hot tubs between each stay.

You are responsible for leaving the pods in a tidy manner before you leave, including putting rubbish in the bins, putting laundry in the bags provided and washing up any dirty kitchenware or using the dishwasher.

A charge of £15 will be made for any pods that have been left in an unsatisfactory mess.

Campfires and guests’ own barbecues are not permitted on site.

Guests’ own wood or charcoal is not permitted. Fuel for our fire pits must be bought from Hedgerow Luxury Glamping, and the fire pit must be used in the designated area outside the pod for safety reasons.

Guests are not permitted to bring their own barbecue. You may purchase a Barbecue pack from Hedgerow Luxury Glamping which includes the barbecue, tools and food. Alternatively you can choose to just purchase the barbecue. Please select your option in the Extras section during booking.

Only one vehicle per pod, except by prior arrangement.

There is a designated parking place next to each pod. Please do not park on other areas of the site.

Vehicles are left at your own risk. We accept no responsibility for damage or theft on the site.

There is an electric charging port available for guests to use onsite.

We operate a strict no smoking policy inside the pods. This includes tobacco products and e-cigarettes.

Guests are permitted to smoke outside the pod, or in the canopy, but you must dispose of your cigarettes use the ashtrays provided.

Smoking in the hot tub is STRICTLY prohibited.

There is a strict no pets policy at Hedgerow Luxury Glamping, including dogs.

We are not able to allow guide dogs to stay in the pods.

We do not permit you to share your booking with other guests.

For example, if you book a 3 night stay, the same guests must stop in the glamping pod for the 3 nights. You cannot share the booking and split the nights.

The guests staying in the pod should be the guests who have given their details towards the security deposit. 

The whole site may be hired out by family or friend groups for special get-togethers.

You can purchase Gift Vouchers for stays at Hedgerow Luxury Glamping in £50 and £100 amounts up to £1000. Please visit the Gift Vouchers page to view our options.

Once you have bought a gift voucher we will create a PDF voucher within 24 hours and email it to the email address used when purchasing the voucher.

Each voucher will include a unique order number and you can customise the To/From/Special Message.

To book a stay at hedgerow using a Gift Voucher, please look at the availability in the calendar and then email your preferred dates, duration of your stay and unique voucher number to info@hedgerowluxuryglamping.com.

Once gift vouchers have been purchased we do not offer refunds except in exceptional circumstances.

We permit stag and hen parties as long as you agree to respect our terms and conditions.

We require a bond for these groups of £50 per person which will returned if the pods and site is left without damage.

Please contact us directly if you would like to book your party with us.

We recommend viewing the 3D visuals of the glamping pods so you can decide if they are suitable for your own wheelchair or access needs.

Hedgerow Luxury Glamping is an adults-only site. No one under the age of 18 is permitted to stay with us.

Any lost keys will be charged at £45 as we will have to replace the key and the locking system for security reasons.

Hedgerow Luxury Glamping accept no liability for belongings that are lost or stolen on the site, including in and outside the pods.

Please do not smoke in the hot tub, take glass or breakable items into the hot tub or any electrical items.

Glass broken in a hot tub will have a charge of £500 due to hiring another hot tub whilst hot tub is removed and deep cleaned.

We provide plastic glasses to use in and around the hot tub. Please use these and DO NOT use glass in and around the hot tub.

Willow features an infrared sauna which is included in your stay.

Dandelion & Buttercup both have an outdoor traditional sauna. 

  • To hire the Sauna for a 1 night Thursday booking the cost is £10.
  • For 3 or 4 night stays the cost to hire the sauna is £25 for your stay.
  • You can buy your sauna hire from our shop at any time during your stay.

Please do not take any food or drink into the saunas.

Please dispose of your rubbish in the bins provided in your pod and at the exit of the site.

Please drive slowly when you are on the site to maintain the safety of yourself, our guests and any wildlife on the site.

Please keep noise within a respectable level.

Respect your pod neighbour’s privacy.

 

The pond at Hedgerow Luxury Glamping is for decorative purposes only.

Please do not paddle or swim in the pond. This is for your own safety, as well as to protect the wildlife that lives in and around the pond.

We reserve the right to ask you to leave if you partake in irresponsible behavior.

What is a Security Deposit?

A security deposit is a provisional charge held on your credit or debit card. Before your stay, you will need to enter your card details through our booking system. Then, before you check-in, the security deposit will be held by your bank for the duration of your stay.

Once you check-out, the security deposit is released and the charge is removed from your card.

If you cause any damage to the pod or the site during your stay (including but not limited to damage to the hot tub, crockery, linens etc.) we have the right to use part or all of the security deposit to cover the costs.

– No money is actually taken from your account or held by Hedgerow Luxury Glamping, it is held by your bank.

– We will only ever use part or all of the security deposit if you cause damage to the pods, items in the pods or the surrounding facilities

– Each pod is thoroughly checked before each stay, and evidence of damage will be recorded via photo or video.

Using a Credit Card
We recommend you pay this with a credit card as the amount due will be provisionally held as an authorised amount, without being charged, and will be released at the end of your stay.

Using a Debit Card
If using a debit card, the funds may actually be taken from your balance, or be held provisionally, and, once reimbursed, may take a few days to clear.
